The problem

You don't have an AI problem. You have an operations problem.

Most of the businesses we meet aren't short on tools — they're short on time. The work below is where it goes.

  • Quotes re-typed, invoices chased, the same customer details entered into three different tools. Repetitive admin quietly absorbs the hours your best people should spend on customers.

  • Calls ring out on site, web enquiries sit overnight, follow-ups slip after a busy week. The job often goes to whoever responds first — and that's rarely the busiest business.

  • When scheduling, quoting or client history depends on a single staff member, every holiday, resignation or sick day becomes an operational risk.

  • CRM, accounting, job management, email, spreadsheets — each fine alone, none connected. The gaps between them are where double handling, errors and missed work live.

01

The starting point

An outdated website losing visitors before they converted, and an operation run across disconnected tools — project management in one system, accounting in another, notifications in a third, and staff chasing project information between them by email.

02

What we designed

One custom platform: a rebuilt marketing website, a customer portal, an AI concierge and automated publishing — delivered in stages, so each third-party subscription is only retired once its replacement has proven itself in use.

03

What we're building

A portal that gives every customer a live view of their project — stage, timeline, drawings and documents under version control, invoices and structured change requests — with a voice-capable AI concierge as the site's first point of contact and booking flows for all three showrooms.

04

The systems being consolidated

Project management moves off a third-party board into the portal. Marketing notifications move onto the platform itself. Accounting stays in Xero, connected by API rather than manual re-entry. A stack of subscriptions becomes one governed system.

Evidence first: this engagement is in delivery. Outcomes will be published here once they're measured — not before.

What we build

The systems that move the needle first.

Four of the highest-impact systems a business can put in place — the ones most engagements start with. They're a selection, not the full range.

  • 01

    Custom workflow automation

Quoting, invoicing, CRM updates, document handling and reporting — automated across the tools you already use, so data moves without being re-typed.

Fits: admin-heavy teams re-keying the same information

  • 02

    AI voice agents

Phone agents that answer within seconds, qualify the enquiry and book or route it to the right person — so calls stop ringing out while your team is on the tools.

Fits: missed calls and high inbound volume

  • 03

    AI chatbots & support

Chat agents on your website, WhatsApp, SMS or email that resolve routine questions and hand the rest to a human — with escalation rules you control.

Fits: repetitive enquiries burying the front desk

  • 04

    Custom platforms & dashboards

Client portals, operations dashboards and internal systems that put bookings, jobs, documents and KPIs in one governed place instead of five subscriptions.

Fits: businesses outgrowing spreadsheets and portals that don't fit

How we work

From bottleneck to running system.

Every engagement moves through the same six connected stages. Nothing goes live without being designed, tested and measured first — and nothing is finished the day it launches.

  1. 01

    Audit

Map how your operation actually runs — revenue, handoffs, bottlenecks and the tools already in place — and prioritise where a system creates real value.

  2. 02

    Design

Architecture, integration points, escalation rules and governance controls, with success metrics agreed before anything is built.

  3. 03

    Build

Implement the system and connect it to your existing tools — CRM, accounting, calendars, phones — rather than replacing them wholesale.

  4. 04

    Test

Run it against real scenarios with your team in a controlled pilot, and tune the edge cases before anyone depends on it.

  5. 05

    Launch

Go live with dashboards, documentation and clear ownership — your team knows what the system does and who's accountable for it.

  6. 06

    Improve

Monitor performance from day one, run optimisation cycles and expand only what the results justify.

Why LB Labs

You work directly

Production systems need attention, not volume.

Meet the team
  1. 01

    Senior-led, end to end

The founders scope, design and build the work with your team — nothing is handed down a chain, and nothing is built away from the people who'll run it.

  2. 02

    Hands-on with your systems

We work inside your actual tools and data, not from a slide deck about them.

  3. 03

    A small, selective roster

Few projects at a time, so each one gets senior attention for its whole life.

  4. 04

    Production over hype

Systems with dashboards, escalation paths and documented ownership — built to survive your busiest week.

Questions

Asked before almost every engagement.

What types of businesses do you work with?

Mostly small and mid-sized Australian businesses with operations-heavy workloads — trades, clinics, real estate, retail, hospitality and infrastructure. If your team spends serious time on admin, follow-up or moving information between tools, you're who we build for.

Do we need to replace our existing software?

No. Most of what we build connects the tools you already use — CRM, accounting, calendars, phones — so information moves between them automatically. We only recommend replacing a system when it genuinely earns its place, and we stage it so nothing is retired before its replacement is proven.

What if AI isn't actually the right solution?

Then we'll tell you. Plenty of operational problems are better solved with simpler automation or a process change, and our audits prioritise value, not technology. We'd rather recommend the boring fix that works than sell an AI system that doesn't.

How long does a project take?

It depends on scope, which is why we start small: a first system is scoped as a controlled pilot with defined success metrics, not a year-long program. You'll have a clear estimate of effort and timeline before committing to a build.

What happens after something is launched?

Launch is the midpoint, not the end. Every system goes live with monitoring dashboards, documented behaviour and escalation paths, and we run ongoing reviews and optimisation cycles — expanding only what the results justify.

The next step

Start with the bottleneck. We'll take it from there.

Two ways in: book an audit and we'll map where your operation leaks time and revenue on site, or start with a 20-minute discovery call about whether a system is worth building. No pitch, no obligation.
